Submitting a project to SUM procedure

Employees of the Medical University of Silesia in Katowice interested in submitting applications for the award of projects financed from domestic or foreign funds are required to proceed in accordance with the Regulation No. 194/2020 of 30. 10. 2020. of the Rector of SUM on the introduction of the Regulations for the preparation of applications and the implementation of non-refundable projects financed or co-financed from domestic or foreign funds. These persons are obliged to submit a project application to the University Office according to the template attached as  Appendix No. 1 to the Regulations, completed and signed by the project developer together with the comments and signature of the Head of the organizational unit.

The details concerning the preparation and implementation of projects financed or co-financed from national or foreign funds are regulated by Regulation No. 194/2020 (download).

The information contained in the form allows you to plan the project well, especially its budget, and to prepare for implementation in formal and legal terms.

Employees of the Technology Transfer Centre assist all SUM employees in the implementation of the project application procedure, including filling out the form.

The various points of the form are discussed in detail below to make it easier to understand and complete.

General information about the project

Points 1 to 9 should include general information about the project, i. e. the exact title, the name of the competition, the deadline for submission of applications and details of the project promoter, i. e. the applicant employed by the SUM. For projects submitted in consortia, the role of the SUM (partner or coordinator) should be specified in point 4.

Financial issues and duration of the project

Points 10 to 16 concern the project budget. In point 10, enter the value of the whole project. In the case of a consortium, ask the coordinator for the amount. In the next section, only the value of the project for the SUM is given, specifying the amount of funding requested and any own contribution.

Both the amount of project funding and indirect costs (point 12) are specified in the competition documentation, usually in the competition rules. If you have any doubts when completing this part of the project, please contact the staff of the Centre for Technology Transfer.

Point 13 (very important) should specify the planned expenditure with division into salaries, other direct costs (e. g. reagents, delegations), subcontracting (planned outsourced services). If the project allows the purchase of equipment, it should be described in point 14 together with the location of the installation, as the equipment possibilities and possible costs of installing the new equipment are analyzed at the application stage.

The information on additional project maintenance costs and ineligible costs applies to a small number of projects, so if they do not exist, it is sufficient to enter ‘not applicable’.

Points 17 and 18 set out the planned duration of the project if it receives funding.

Participation of medical entities in the project

As many university projects concern clinical trials or medical experiments that require cooperation with a healthcare provider, paragraphs 19 to 22 should be completed carefully.

Summary of project tasks

The brief description of the project in point 23 should cover all planned tasks.

Signatures

The application form is signed by the project promoter (point 24) and the head of the organisational unit where the project will be implemented (point 25). The completed form should be submitted to the SUM University Office at Poniatowskiego Str. No 15, one month before the deadline for submitting the application. The procedure for further opinions is handled by the Technology Transfer Centre.

In order to avoid the additional explanations, and thus lengthen the opinion procedure, we suggest you contact the employees of the Centre for Technology Transfer in advance, who will be happy to help you fill out the form and provide all the necessary information.
